Privacy policy
Version 1.0 · Effective: 2 November 2026
1. Who is responsible
Native Flow, LLC, a Wyoming (USA) limited liability company doing business as Native Teams Agency (“NTA”, “we”) is the controller of the personal data described here. Contact: info@nativeteamsagency.com · Phone +1 872 353 8382.
2. What we collect
Buyers and account holders (people who use an NTA account on behalf of a media organisation or other professional buyer; accounts are not offered to consumers)
• Sign-up details: name, work email, password (stored only as a secure hash), company or media outlet, job title, country, website, how you use video, and phone if you give it.
• Acceptance record: which version of the Licence Terms you accepted, when, and from which IP address.
• Account administration: approval status, who approved it and when, the client company you belong to, internal notes, two-factor authentication settings and download limits.
• Download log: which Clips were downloaded, when, from which IP address, the deal type and channel (website, feed or FTP delivery), and the related invoices.
• Email alerts: your alert choices (categories, keywords, frequency) and a record of alerts sent, and whether an email bounced.
Everyone who visits the site
• Server and security logs: IP address, browser type, pages requested and time; failed login attempts (IP address, username entered, browser) used to block password-guessing.
People who send us a takedown or contact request
• Name, email address, the story link or code, your message, and the IP address the form was sent from.
Filmers and rights holders
• Your name or social media handle, the credit you asked for, the link to your original post, and our licensing messages with you (usually through X or another social network).
• If you send a video through our Submit a story form, we also collect your name, email, phone or WhatsApp number and social media handle if you give them, the video file or link, where and when it was filmed, your description, and the IP address and browser the form was sent from. We use this to review your video, contact you, credit you and keep proof of the licence. If we decide not to use a video, we delete the file within 30 days and keep only a short record of the submission.
People who appear in videos
• Videos we license are news footage and may show identifiable people, sometimes in sensitive situations (for example accidents, police action or conflict). We process this for journalistic purposes; see section 4.
3. Why we use it and our legal basis
• To check that a sign-up comes from an organisation, create and approve organisational accounts, deliver Clips and alerts, and provide the service to the organisation you work for (performance of a contract with your organisation, and our legitimate interests in running it).
• To invoice Downloads and keep accounting and tax records (contract and legal obligation).
• To protect the site, prevent shared accounts, scraping and password attacks, and enforce download limits (legitimate interests).
• To handle takedown and contact requests and to defend legal claims (legitimate interests, and legal obligation where it applies).
• To credit filmers and keep proof of each licence (contract and legitimate interests).
• To send story alerts you chose (contract; you can turn them off or unsubscribe at any time).
Every sign-up is reviewed and approved by NTA staff before access is granted. We do not make decisions with legal or similarly significant effects solely by automated means.
4. People shown in news videos
We publish and license newsworthy footage in the public interest. Data protection laws, including Article 85 GDPR and the national laws implementing it, contain exemptions and adjustments for journalism, and we rely on them where they apply. We still weigh the public interest against the privacy of the people shown, and anyone who appears in a video can ask us to review it using our Takedown Policy. We pay particular attention to minors, victims and graphic material.
5. Who we share it with
We do not sell personal data and do not use it for advertising. We share it only with:
• Service providers acting for us under contract: Contabo (servers, Germany); Backblaze B2 (video and backup storage, EU Central region); Bunny.net (video streaming of watermarked previews, Frankfurt); Postmark / ActiveCampaign (sending emails, USA); Namecheap Private Email (our mailboxes).
• Buyers: the filmer credit you agreed to is shown with each Clip and passed to licensees.
• Distribution partners: Clips, with the filmer credit, are supplied to distribution partners (other video agencies) who license them to their own clients.
• Professional advisers, auditors and authorities, where required by law or to establish or defend legal claims, and a buyer of our business if it is ever sold.
6. International transfers
Native Flow, LLC is a US company and some providers are in the USA, so personal data may be transferred outside the EU/EEA and UK. Where required, we rely on an adequacy decision (including the EU-US Data Privacy Framework where a provider is certified), the European Commission’s standard contractual clauses and the UK addendum, or another lawful safeguard. You can ask us for details.
7. How long we keep it
• Account data: while your account is open and up to 2 years after it closes. Sign-ups that are rejected: up to 12 months.
• Download log and invoice records: as long as tax and accounting law requires (usually 7 years).
• Security and server logs: up to 12 months.
• Takedown and contact requests: up to 3 years after they are closed, to show how they were handled.
• Filmer licence records: for as long as we license the video, and afterwards as long as needed to prove the licence.
• Videos sent through Submit a story that we decide not to use: the file is deleted within 30 days; a short record of the submission is kept.
• Backups are kept for up to 30 days, so deleted data disappears from them within that time.
8. Security
We use encrypted connections (HTTPS), hashed passwords, two-factor authentication for staff, private storage for original videos with short-lived signed download links, encrypted storage of delivery credentials, and access limited to the people who need it. No system is perfectly secure; we will tell you and the authorities about a breach where the law requires.
9. Your rights
Depending on where you live, you can ask to access, correct, delete or receive a copy of your data, to restrict or object to some uses, and to withdraw consent. Residents of US states with privacy laws have similar rights to know, correct and delete, and we do not sell or share personal data for targeted advertising. Write to info@nativeteamsagency.com. We reply within one month and may need to check your identity. Some rights are limited by journalism exemptions or by our duty to keep invoice records.
You can also complain to a data protection authority, for example in the country where you live or work.
10. Cookies
We use only essential cookies and a browser setting for light/dark mode. See our Cookie Policy.
11. Children
The site and its services are for organisations and media professionals acting in a business capacity. They are not offered to consumers and are not directed at children under 18.
12. Changes
We will post changes on this page with a new version date and tell account holders about important ones by email.
